How much water does an office actually use?

About 20 ounces per person per workday is a good place to start. Here is how to turn your headcount into a monthly number and pick the right cooler.

Ask an office manager how much water the building goes through and you usually get a shrug, or a number from the last delivery invoice. Both are reasonable. Neither helps much when you are deciding what equipment to put in the break room. Here is a simple way to work it out.

Start with people, not jugs

A practical planning number is about 20 ounces of drinking water per person per workday. Some people drink far more, some drink coffee and nothing else, and it averages out. Multiply that by your headcount and by roughly 21 workdays in a month and you have a monthly figure you can actually plan around.

For a 50 person office that works out to 21,000 ounces a month, or a little over 160 gallons. On five gallon jugs that is around 33 bottles a month to order, carry, store and swap.

Then adjust for your building

  • Summer. Consumption climbs when it gets hot, especially for crews who work outside or on a warehouse floor. Plan on more in July than in January.

  • Shift work. A plant running two or three shifts is really two or three offices sharing one cooler.

  • Visitors. Lobbies, showrooms and clinics see water use from people who are not on your payroll.

  • Coffee and tea. If your brewer pulls from the same line, count it.

Why the number matters

Once you know your volume, the equipment question gets easier. A small office is well served by a single bottleless cooler like the Metro W5. A busy floor may need the higher capacity of a Metro XL1 or DMXL, or a second unit at the other end of the building so nobody walks past three departments to fill a bottle.

It also shows you what bottled delivery is really costing you in time. Every one of those 33 jugs gets ordered, received, lifted onto a cooler and stored somewhere. A bottleless cooler plumbed into your water line takes all of that off the list, and because the water is filtered on the way in, nobody has to think about where the bottles have been.
